Project Control Services provides proactive cost, schedule and contract administration support to Kharafi National’s projects, with the aim of detecting and preventing potential problems and maximizing efforts towards the achievement of project and corporate goals. This support department has three main functions. |

Contract Administration |
| |
The basic function of contract administrators is to monitor payments and correspondence concerning contracts and to advise project managers on contractual matters.
Subcontract agreements are prepared by contract administrators in coordination with the on-site project teams. The draft forms of subcontracts, as well as associated review forms and checklists, are reviewed by the contracts administration manager or the project controls services director.
Where the projects are re-measurable, the contracts administrator also maintains accurate work-in-progress records and a record of the final account as agreed with the client. These records are updated daily and are used to prepare applications for payment and to prepare payments to subcontractors. |

Planning |

The basic functions of the department’s planning engineers are: |

establishing the work breakdown structure of the project; |

preparing the project plan and schedule; |
 |
establishing the reporting system for the project in line with company procedures; |
 |
collecting data and preparing daily, weekly and monthly reports; and |
 |
analyzing productivity. |

Cost Control |

The basic functions of cost engineers are: |

monitoring and maintaining the project budget; and |
 |
preparing project forecast review reports. |

Organization |
| |
|
The department operates on a matrix organizational structure. Project control staff members are imbedded in the project organization but are linked functionally to the department, enabling Project Control Services to achieve a high consistent quality in the services it provides to projects. |

Tools |
| |
|
In order to function effectively, Project Control Services relies on information. Hence it uses the best available software. Its software tools include Primavera for planning, Pertmaster for risk analysis, Expedition for document control, and Oracle’s ERP project module which is integrated with the accounting function. |
